Adding a booking to asset calendar

Purpose 

We have a Google calendar set up for each asset where we can track our shifts and the travel time it takes for the van to get to and from a shift location. We have realised it would be a great benefit for our Service Leaders, Vehicle Leaders, Assistant Vehicle Leaders and Community Impact Coordinators, to have access to this, as we can pop all things 'van' related in the calendar and create a better view of what our assets get up to each week! 

Asset related bookings: 

  1. Travel to and from shift
  2. Shift operating
  3. Van services
  4. Events
  5. Shift leads to explore/potential shifts
  6. Donor visits

Process

Adding a 'shift' (used by HQ Ops Team, Community Impact Coordinators & Service Leaders)

  1. Click onto calendar on specific day of booking
  2. Click 'More Options'
  3. If adding a possible shift, depending on the state at which the process is in, make title either: LEAD BNE 0700-0900 Shift Name // BUILDING BNE 0700-0900 Shift Name // BNE 0700-0900 Shift Name
  4. Ensure the correct date is added, and if the shift will happen once, daily, weekly, fortnightly etc. 
  5. Select the start time and finish time
  6. Select the correct time zone
  7. Add the location of shift, if you are aware
  8. Click 'Save'
  9. Create booking for travel time to and from.  Add travel time for 30 minutes to shift, and 1 hour back to base, and make title: Travel to Shift or Travel to Base

Adding an 'asset service' (used by HQ Ops Team, Vehicle Leaders & Assistant Vehicle Leaders)

  1. Click onto calendar on specific day of booking
  2. Click More Options
  3. Add Title depending on what the asset is being serviced for:
    1. LOGBOOK SERVICE 0730-1400
    2. GENERATOR SERVICE 1100-1500
    3. BRIGHTWELL TUBE SERVICE 1400-1600
    4. TEST N TAG 0800-1000
    5. REPAIRS 0800-1000
  4. Ensure the correct Date is added
  5. Select the start time and finish time
  6. Select the Time Zone
  7. Add the Location with the company name that the service is taking place at (e.g. CAPS, 51 Fulcrum St, Richlands QLD 4077)
  8. Click Save
  9. Create booking for travel time to (e.g. Travel to CAPS) and from (e.g. Travel to Base)

Adding an 'event' (used by HQ Ops Team, Community Engagement Coordinators & Service Leaders)

  1. Click onto calendar on specific day of booking
  2. Click 'More Options'
  3. Add title including event name  and time:
    1. SCHOOL NAME 0730-0800
    2. BUSINESS NAME 1100-1200
    3. DONOR VISIT 1400-1600
  4.     Ensure the correct date is added, and is not repeated  
  5.     Select the start time and finish time
  6.     Select the correct time zone
  7.     Add the location of event
  8.     Click 'Save'
  9.     Create booking for travel time to and from. To be safe, add travel time for 30 minutes to and from event, and make title: Travel to Shift or Travel to Base
