Maintenance - Logbook Servicing

All vehicles are required to be serviced as per their logbook every 10000-15000km or, most likely in Orange Sky's case due to short distances travelled each year, annually to ensure the vehicles remain reliable during their operational life.


Service Prompt

A member of Orange Sky HQ will assign a task to you within the 'Vehicle Maintenance' project on asana stating that the van's logbook service is coming up (see image below). The task description will all of the information required to complete the service.

Make Booking

  1. Be mindful of shift times when booking a service. If possible, try to book the van in during a time where shifts won't be disrupted.

  2. Liaise with a local mechanic regarding the works that are needed to be done.

  3. When booking the service, you will need to provide the following information to the workshop:
    Vehicle Make & Model, Vehicle Registration, Odometer Reading.

  4. When a service time has been booked in, change the task status to "Booked & Awaiting Completion" by using the dropdown section in the task shown in the image below.

  5. Comment in the task stating when the service will take place, and change the due date of the task to the day of the service.

Take Van to and from Service

  1. The van will need to be taken to and from the service by a member of the local Orange Sky team. If you are unable to find time to drive the van yourself, you may be able to liase with your local team for someone to drop off and/or pick up the van before and after the service. If a courtesy car makes this process easier, you are welcome to add this to your booking.

  2. Once the service has been completed, the person picking up the van should confirm that payment will be sent to payables@orangesky.org.au. If the workshop require payment on pickup, call service support to organise payment over the phone.

  3. The task can be now be completed on the vehicle maintenance board. If there is an error in the log recorded above, move the job in Asana to 'Help Required' on the 'Vehicle Maintenance' board.
