Process for assigning new volunteers to activities

Article summary

This article is for Service Leaders or Service Coordinators who manage the onboarding of volunteers in your service. If you do not currently do this please speak to the HQ Friends & Volunteers team before making any changes.


  1. Complete the following at-least once a week
  2. Go to 'volunteers' and select the waitlist volunteers tab to view a list of volunteers that have applied for shifts.
  3. If there are volunteers on the list that you would like to add to a shift (activity) click the ellipsis (3 little dots) and click 'add to team' (this will send the volunteer an email letting them know they have been added to the team).
  4. Check if the volunteer has applied for other shifts by searching for their name. If they have remove them from the waitlist for those shifts by clicking the ellipsis and selecting 'withdraw'. A pop up box will appear asking you to include a message to the volunteer you can include 'Hi <Name>, I am removing you from the waitlist for this shift as you have been added to the <shift name> team.'
  5. You will need to email the Team Leader to let them know they have a new volunteer. Please click here for an email template.
  6. If after adding a new volunteer to the team the shift is no longer a priority and does not need new volunteers please remove the priority flag from the shift. For instructions no how to remove the priority flag click here.


What action do I need to take if I am not adding a volunteer to an activity/team?

If a volunteer has applied for an activity that is not a priority, simply leave them on the waitlistings page until a vacancy arises. If a volunteer has applied for a priority activity but you are not adding them to the team (ie. you need a driver for the activity) click on the volunteers name and record in the comments section the reason for not adding them to the team.
